Managing Your Mental Health

HR has collected a great set of mental health resources to help you manage the ups and downs of our COVID-19 experience. Our VPFO HR staff is on campus every day for confidential conversations. See below for this week’s HR duty roster.

TAKE THAT STEP — NEW MENTAL HEALTH PROGRAM

We all have different needs. Wellness Together Canada is a free service, suported by the Government of Canada and others, which allows you to choose from a variety of resources to motivate and support your wellness journey. Get connected to mental health and substance use support, resources, and counselling with a mental health professional.

UBC THRIVE IS COMING — ADD YOUR VOICE

UBC Thrive is a month-long series of events focused on helping everyone at UBC explore their path to mental health. UBC Sustainability Scholar, in partnership with UBC Wellbeing, is conducting a survey to inform the content and format of UBC’s Thrive campaign in November 2020 so it can be delivered in a way that best supports the mental health of the UBC community in the time of COVID-19 and beyond.

Department updates

Facilities – Building Operations, Energy & Water Services, and Infrastructure Development

  • Arts Student Centre receives Board 3 approval: The Arts Student Centre at Brock Commons is currently in construction. For information on the project and road closures, visit the Infrastructure Development website.
  • ICI Building (UBC Okanagan) and Recreation Centre (UBC Vancouver) receive Board 1 approval: The Interdisciplinary Collaboration & Innovation Building (ICI) in UBC Okanagan and Recreation Centre in Vancouver have received Board 1 approval to proceed with schematic design. For information, visit the Infrastructure Development website.
  • LBS fileserver decommissioned end of day, June 30: A reminder that the LBS fileserver will be decommissioned as of Tuesday, June 30 and files on this server will no longer be accessible. Please ensure to copy any important files to the new shared drive to avoid losing any important information.
  • Project Services’ Project Coordinators on-site support schedule this week: Please continue to contact the designated Project Manager/Coordinator for project inquiries.

Finance – Comptroller, Finance & Operational Excellence, and Treasury

  • UBC’s Budget: Our Finance teams are busy preparing the revised budget for UBC, which will be presented to the Board of Governors at the July session.
  • Financial Reports: The Comptroller’s team is in the process of preparing the US GAAP statements, the UBC Foundation report, and the Financial Information Act report.
  • Preparing for workday section on UBC Finance website: As the Integrated Renewal Program team develops new tools and resources to support our finance community in the transition to Workday, they will add them to a new Preparing for Workday section of the UBC Finance website. The first such resource is a tool for translating PeopleSoft chartfields into Workday worktags, which is now available.

Safety & Risk Services

  • SRS website – COVID-19 Safety Planning:  A new section about COVID-19 Safety Planning has been published on the SRS website. In this section you can find resources to assist in the COVID-19 Safety Planning process, signage templates to be displayed as per safety plans, advice on submitting plans for approval, and more.
  • Faculty and staff mandatory training for return to campus: All faculty and staff will be required to complete online mandatory training within 30 days of re-occupancy on campus. This training has been designed to help us all in preventing the transmission of COVID-19 in the workplace.

FUTURE OF WORK HR SURVEY

Our work at UBC is rapidly shifting. Some ways we can see now, like distributed teams working from many locations or new processes. The VPFO is working with UBC Human Resources to pilot a pulse survey with you on the future of work. This survey focuses on gathering your thoughts about remote or flexible approaches to work. Please complete the survey by July 3.

CAMPUS SECURITY OFFICER SPOTLIGHT: OPERATIONS SUPERVISOR, HARLEY SANDHU

Harley Sandhu is the latest member of the Campus Security team to feature in our Officer Spotlight – learn more about Harley in the Meet the Team page on the Campus Security website.

PRIVACY & INFORMATION SECURITY TIP  – HOW RISKY IS THE ELECTRONIC INFORMATION YOU ARE HANDLING?

Information is not created equally – some is very sensitive, some is public. The places you can store, and ways you can transmit UBC electronic information depends on its Information Security Classification. For example: Personal Information is always at least high-risk, but could be very high-risk if disclosure of the information could cause significant harm, like banking details. Knowing the Information Security Classification of UBC information is key to knowing how best to protect it.

IRP CHANGE READINESS ASSESSMENT 3

The IRP Program is running a final readiness survey to seek feedback from all UBC faculty and staff. This is your opportunity to voice and provide feedback to the IRP team directly. It will take about 15 minutes to complete and is completely anonymous. Please take the survey by Friday, July 10.

SUBMIT AN APPLICATION FOR THE 2020/21 WORK LEARN PROGRAM

If you’re looking to build capacity in your team to advance departmental priorities, or are in need of additional support, consider submitting a proposal to hire temporary student employees through UBC Vancouver’s Work Learn program. The program is currently accepting proposals for Winter 2020: June 29 – July 17, 5PM PST.
